How we use AI

Which tools we use

Our main AI tool is Claude, made by Anthropic. We may also use AI features built into tools we already use to run the school, such as our email, design and document software.

What we use AI for

• Drafting and tidying emails and messages. A team member always reads and approves them before they’re sent.
• Summarising and organising coaching notes and call recordings, so we can follow up properly and prepare for your next session.
• Reviewing work you submit as part of a programme, alongside our own review.
• Creating course materials, marketing and general business admin.

What we don’t do

• We don’t let AI make decisions about you, such as programme places, refunds or assessments.
• We don’t use your name, words, face or voice in our marketing without asking you first.
• We don’t put payment details, passwords or ID documents into AI tools.
• We avoid putting sensitive personal details into AI tools, such as anything about health or family circumstances you share in coaching. Where it’s genuinely needed to support you, we keep it to the minimum.

How your information is protected

• We’ve switched off the setting that lets our AI conversations be used to train AI models, and we don’t use the feedback buttons on conversations that include client information.
• Access is limited to our team, using secure logins.
• Information we put into Claude is handled by Anthropic and may be processed in the United States, with legal safeguards in place for international transfers. You can read Anthropic’s privacy policy.
• We keep information only for as long as we need it to support you, as set out in our privacy policy.

Your choices

You have the same rights over your information as always: to see it, correct it, ask us to delete it, or object to how we use it. If you’d rather we didn’t use AI with anything you share, just tell us. It won’t change the support you receive.
